Automatic billing of accounts
To make an automatic invoice, open the reservation, select Bills & Invoices and click Generate bills below to create the account. It automatically transfers the charges. In the Invoice type do you see the type of document. If you want to change its type, double-click on the account or right-click (… ᵛ) and select Quick edit, the Bill details opens, there can you change the Invoice type of the document. If it concerns a company pass its details.
If you want to add a payment, press (… ᵛ) to the right of the account, Add payment and fill in the amount and the payment method.
Change invoice type
If you want to convert the document type to another then open the reservation, go to Bills & Invoices, while the account remains in Open bills, select the document you want to convert and open it with a double click up or pressing (... ᵛ) and then Quick edit.
Change the item to the desired. If you select a company fill in its details either with Search, if the profile already exists, or from the beginning.
And at the end Update bill.
If the account has been issued and you wanted to change the type, then you delete it, if it is the last document and you create it again. If it is not the last one then credit should be created.
Credit
Open the reservation, select the document, press (...ᵛ) and then Cancel. It automatically takes your credit down on Invoices and on your Open Bills has activated a new account.
Credit for a part of the amount.
If you want to cancel a part of the amount, the steps for creating a Credit are as follows:
Add Bill - and you choose the type of document, Credit
Add custom charge
Fill in the required fields and select Negative - Yes
In the Actions of the reservation you select Refund Payment
Fill in the payment method, amount and select Paid Yes
Transfer the payment to the Credit from the Associate payment.
Two documents for one account
If some customers want to share a bill they owe and need to issue 2 invoices, open the reservation, go to Bills & Invoices and find the document. (If it has not already been created, you create it by pressing Generate Bills.) Double-click or select Quick edit and the Bill details opens .Then in Charges, select the charge they want to share and press (… ᵛ), and select Quick edit. Enter the price you want to be charged (eg you share the amount) Update folio. Then press + Add bill, Other Customer / Business (Unless the name already appears) pass the details and then click Create bill. Click on the account you created, enter the Bill details, then Actions ᵛ and Add custom charge. Fill in the fields and the value below and then Create folio.
Create an account without reservation
To create an account for a customer after check out, external customer or agency for extra facilities & services go to:
Finance
Invoices
Top right + Add Invoice and fill in the information of the document you want to create.
The account appears in Invoices
Add payment and print.
Sending documents to the accounting department
To send the invoices to the accounting office go to:
Financial
Invoices
Open the filters on the top right and select the dates, type of documents and whatever else you want. Apply filters.
At the bottom right you set to show 100 documents / page
Select them all by clicking on the empty box on the top left or an individual one
Then click on Selections, Download as zip, fill in the email where you want to send them and Download Invoices. (Send them per page.)
Notes on the invoice
Create the account or select the account you want. Press and select Issue Invoice, check the dates and then fill in the notes below and finally Issue Invoice.
